Getting your first crew set up and a job on the calendar takes about five minutes. This guide walks you through the entire process from start to finish.
Navigate to the Crews section from the main dashboard sidebar. Click "Add Crew" and enter a crew name — this is typically the crew lead's name or a route identifier like "North Route".
When creating a crew, you'll need:
Tip: You can always rename crews later. Many companies start with the crew lead's name and switch to route-based naming as they scale.
Once the crew is created, add members by entering their email addresses. Each member will receive an invite to download the Grounds Manager mobile app. They'll use this to clock in, view their schedule, and upload job photos.
Go to the Schedule view and click on any date to create a new job. Select the crew you just created, choose a property (or create one inline), and set the service type and estimated duration.
Warning: Make sure your crew members have accepted their invites before their first scheduled job — otherwise they won't see it in the mobile app.
Once your first job is complete, you'll see it reflected in the dashboard with time tracking data, photos, and completion status. From there, you can start building out your full schedule.
