    Connecting QuickBooks to Grounds Manager

Grounds Manager integrates directly with QuickBooks Online to sync invoices, customer records, and payment status. This eliminates double data entry and keeps your books accurate.

    Prerequisites

Before connecting, make sure you have:

    • An active QuickBooks Online subscription (Simple Start, Essentials, or Plus)
    • Admin access to your QuickBooks account
    • Admin access to your Grounds Manager account

    Connecting your account

Go to Settings → Integrations → QuickBooks and click "Connect QuickBooks". You'll be redirected to Intuit's authorization page where you'll log in and grant Grounds Manager access to your QuickBooks data.

Tip: The connection uses OAuth 2.0 — Grounds Manager never sees or stores your QuickBooks password. You can revoke access at any time from your QuickBooks account settings.

    What syncs

The following data syncs between platforms:

    • Invoices created in Grounds Manager appear in QuickBooks
    • Customer records sync bi-directionally
    • Payment status updates flow back from QuickBooks
    • Service items and line items are mapped automatically

    Troubleshooting sync issues

If invoices aren't appearing in QuickBooks, check the sync log under Settings → Integrations → Sync History. Common issues include duplicate customer names or mismatched service items.

Warning: Do not delete synced invoices directly in QuickBooks — always delete from Grounds Manager first to keep both systems in sync.
